Send Time Optimization

3 min read

The best message sent at the wrong time is invisible. Send time optimization uses historical engagement data to determine when each prospect is most likely to open, read, and respond. The aggregate data shows patterns: Tuesday through Thursday outperform Monday and Friday. Morning outperforms afternoon in most time zones. But the individual data is more powerful. This specific prospect opens emails between 7:15 and 7:45 AM. This one consistently engages after 4 PM. AI tracks individual engagement windows and schedules touches accordingly. The lift is measurable: 12-18% improvement in open rates from individual send time optimization.

Do This

  • Use aggregate data for first touches and individual data for subsequent ones
  • Account for time zones — sending at 9 AM your time is not 9 AM their time
  • Test send times quarterly — engagement patterns shift with seasons and work habits

Avoid This

  • Send everything at 9 AM EST because "that is when people check email"
  • Ignore individual engagement patterns when the data is available
  • Optimize send time once and never revisit — patterns change
