AI-Assisted RFP Responses

AI accelerates RFP response production in ways that are genuinely useful and introduces failure modes that are genuinely dangerous. The teams using AI well are outpacing those who are not. The teams using AI badly are submitting proposals that are technically compliant, structurally adequate, and completely generic — which is, in a competitive evaluation, functionally the same as losing.

The distinction is not whether to use AI. It is understanding precisely what AI is good at and what it is terrible at in the context of proposal writing, and organizing your workflow accordingly.

  1. Where AI Accelerates AI is excellent at: drafting boilerplate sections (standard methodologies, compliance language, reference formatting), building compliance matrices from RFP text, generating first-draft outlines from requirements lists, reformatting existing content to match new RFP structures, and producing first drafts of sections that require thoroughness rather than originality. Use AI for everything in this category without apology. The time savings are real and the quality is adequate for boilerplate.
  2. Where AI Destroys Credibility AI is catastrophic at: incorporating proprietary client knowledge from discovery, writing case study narratives that reflect genuine specificity about past engagements, articulating your firm's genuine differentiation versus the competition, producing risk assessments based on your team's actual experience with similar failure modes, and capturing the judgment-based reasoning that separates an expert response from a generic one. An evaluator reading five AI-generated proposals can identify them by their interchangeable phrases ("our team of experienced professionals," "a comprehensive approach tailored to your unique needs"). The proposal that is not interchangeable wins.
  3. The Proprietary Layer The practical workflow for AI-assisted RFP responses: use AI to draft the structure and boilerplate, then layer in proprietary content that AI cannot generate — specific client intelligence from discovery, genuine case study narratives from your actual engagements, your real differentiators stated in concrete terms, and the risk acknowledgments that only an experienced practitioner would think to include. This layer is the competitive layer. It is also the layer that requires human expertise. AI handles the skeleton; you provide the argument.

Do This

  • Use AI to draft compliance matrices, standard methodology sections, and reference formatting
  • Use your own discovery intelligence and case study specifics to differentiate the AI-drafted base
  • Read every AI-generated paragraph for interchangeable phrases that every competitor's AI will also generate
  • Treat AI output as a first draft that requires substantive human revision before submission

Avoid This

  • Submit an AI-drafted RFP response without a substantive proprietary layer — you are submitting the same proposal as every other team using the same tool
  • "Our AI can customize this proposal for your needs" as a selling point in the proposal itself — it signals the opposite of specialization
  • Use AI to generate case study content it cannot verify — fabricated specifics in case studies are a disqualifying failure
  • Believe that AI-generated proposals are undetectable by experienced evaluators — they are not
