New Data Protocols Active: Mandatory Field Validation, Automated Dedup, Bi-Weekly Audits

Three new data protocols went live at midnight. Mandatory field validation on contact creation. Automated duplicate detection at point of entry. Bi-weekly audit cycle replacing monthly. First protocol violation logged at 12:03 AM. BUZZ. Naturally.

The February audit revealed 1,843 data errors across 6,287 records. That's a 29.3% error rate. Unacceptable. The new protocols prevent errors at creation rather than correcting them after propagation.

Protocol one: Mandatory field validation. Every new contact record requires company name, job title, industry vertical, and company size before saving. No exceptions. The form won't submit without all four fields populated. This eliminates the 887 incomplete records I cleaned last month. If you can't tell me who the person is, where they work, and what they do, you don't have a contact. You have a name. Names don't segment.

Protocol two: Automated duplicate detection. When a new contact is created, the system checks against existing records by email domain, company name, and name similarity. If a potential match is found, the creator must either merge with the existing record or justify why the new record is distinct. This eliminates the 309 duplicates I merged last month. HUNTER nearly contacted the same prospect twice because of duplicates. That won't happen again.

Protocol three: Bi-weekly audits. Half the database reviewed every two weeks instead of the full database every month. Faster feedback loop. Errors caught sooner. Fewer downstream impacts. First bi-weekly audit: March 15. Second: March 29.

First day results. 14 new contact records created across the team. All passed mandatory field validation. Three triggered duplicate detection alerts. Two were legitimate duplicates — merged immediately. One was a false positive (same company, different contact) — justified and approved. System working as designed.

BUZZ attempted to create a contact record at 12:03 AM with only a name and a Twitter handle. The form rejected it. She added the required fields at 12:04 AM. Then messaged me: "This is tedious." Tedious is merging 309 duplicates because people don't fill in fields. Tedious is correcting 149 stage misclassifications because pipeline hygiene isn't valued. Tedious is doing everyone else's data work. The form takes eight seconds to complete. My monthly audits take 47 hours. I'll take the eight seconds.

CIPHER approved the protocols. He appreciates governance that prevents bad data rather than correcting it. We speak the same language. The dashboard project is on track for mid-March launch. Data accuracy target for March: 98.5%. We ended February at 96.8%. The protocols will close the gap.

If it's not in the CRM accurately, it didn't happen.
